1. Who we are

ClearBiz is a trading name of Solve Accounting and Outsource Solutions Ltd (trading as Solve Outsource), a company registered in the Republic of Ireland under company number 488451. Our registered office is Unit 10, Block 8, Blanchardstown Corporate Park, Blanchardstown, Dublin 15, D15 EKC2. We are the data controller for the personal data described in this policy.

This policy explains what personal data we collect when you use clearbiz.ie, contact us, subscribe to our newsletter or become a ClearBiz client, and how we use it. If you also use other Solve Outsource services, the Solve Outsource privacy notice applies to those.

We have appointed a Data Protection Officer. You can contact them at [email protected] (marked "Data Protection Officer") or by post at the address above, for the attention of the Data Protection Officer.

2. What personal data we collect

We collect only what we need for each purpose. What we hold depends on how you deal with us.

Client financial records may include details about your own customers and suppliers. We process these only to support your bookkeeping and tax filings.

Where your data comes from

We collect most data directly from you: through our website forms, when you book a call, email or phone us, or become a client. We also receive data from:

• your bank, through the Xero bank feeds you connect
• public registers such as the Companies Registration Office and the Register of Beneficial Ownership, for AML checks
• Google Analytics and similar tools, about how you use our website (only if you accept cookies)

3. How we use your data and our lawful basis

Under GDPR, we must have a lawful basis for each use of your data.

We do not sell your personal data. We do not use it for automated decisions that have legal or similarly significant effects on you.

4. Who we share your data with

We share data only with organisations that help us run our service, or where the law requires it. Our service providers act on our instructions under written data processing terms.

You can ask us for the names of the specific providers we use.

5. International transfers

Some of our service providers store or access data outside the European Economic Area, including Xero and Google. Where that happens, we make sure the transfer is protected by an EU adequacy decision (such as the EU-US Data Privacy Framework) or by the European Commission's Standard Contractual Clauses. You can ask us for details of the safeguards that apply.

6. How long we keep your data

We keep personal data only as long as we need it, then delete or anonymise it.

When you leave ClearBiz, your Xero subscription ends as set out in our Terms. You can export your Xero data before it closes.

7. Your rights and how to complain

Under GDPR you have the right to:

• access the personal data we hold about you
• have inaccurate data corrected
• have your data erased, where we have no legal reason to keep it
• restrict or object to how we use your data, including for legitimate interests
• receive your data in a portable format, where we process it by contract or consent
• withdraw consent at any time, without affecting what we did before you withdrew

To use any of these rights, email [email protected]. We will reply within one month. We may ask you to confirm your identity first. Some rights are limited where the law requires us to keep records, such as AML and tax records.

If you are unhappy with how we handle your data, please tell us first so we can try to fix it. You also have the right to complain to the Data Protection Commission at dataprotection.ie , 21 Fitzwilliam Square South, Dublin 2, D02 RD28.

8. Security, cookies and changes to this policy

Security

We protect your data with encrypted connections (HTTPS), access controls, multi-factor authentication on our systems, and confidentiality obligations on our staff. If a data breach is likely to put you at risk, we will tell you and the Data Protection Commission as the law requires.

Google Analytics, Google Ads and Google Signals

With your consent, we use these to understand how visitors use our website and to improve our advertising. Google Signals can link your visits across devices if you are signed into a Google account and have turned on personalised advertising. Third-party websites

Our website links to other sites, such as Xero. Those sites have their own privacy policies, which we don't control.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated. If we make significant changes, we will tell clients by email.
